Capium 365 Receipts is a streamlined tool designed for seamless receipt collection and management within the Capium 365 ecosystem. Clients and accountants can upload up to 50 receipts at a time.

  • Go to Manage → Clients, then select the desired client from the list. 

  • Click the dashboard icon located in the top-left of that client's row.

Upon clicking on the GO to 365 You will be redirected straight to the Client Dashboard.

When you select Receipts in Capium 365, you’ll see the following tabs: 

  • Purchase Invoices – View or upload supplier invoices for purchases 

  • Receipts – Manage expense receipts uploaded via app or web 

  • Credit Notes – Track and allocate supplier credit notes 

  • Suppliers – Access your supplier directory and related details

How to Upload Purchase Invoices in Capium 365 

  • To upload purchase invoices in the client's portal: 

  • Navigate to the Receipts tab. 

  • Click on + Upload Purchase Invoices. 

  • On the upload screen, either browse and select the files or drag and drop them into the upload area.

Editing a Purchase Invoice in Capium 365 

Find the purchase invoice you want to change from the list of invoices uploaded 

Navigation:  

  • Click on the Invoice ID to open the invoice. 

  • Make the necessary edits (e.g., date, amounts, or details). 

  • Click Save to apply the changes.

Bulk Editing Purchase Invoices 

To bulk edit purchase invoices: 

  • Navigation: 
      Go to Capium 365 
      Select the Receipts tab 
      Tick the checkboxes next to the purchase invoices you want to edit 
     Click Bulk Edit at the bottom of the screen 
      Make the required changes to fields like SupplierVAT Rate, and Account

By selecting the invoices, you have the option to download as excel, CSV, PDF also you can publish it.

How to Upload Receipts in Capium 365 

  • Navigate to Capium 365 > Manage > Clients and select your client (ensure their 365 status is active). 

  • Click Go to 365 on the right-hand side. 

  • Switch to the Receipts tab within the client’s portal. 

  • Click + Upload Receipts. 

  • On the upload screen, either browse to select files or drag and drop them. 

  • Click Upload Receipts to submit.

Note : You Can upload up to 50 receipts at one time, the restriction is based on the upload rate. As soon as you have uploaded 50, you can upload 50 more. 

Editing the Receipts 

  •     Find the purchase invoice you want to change from the list of invoices uploaded 


  • Navigation:  

  • Click on the Invoice ID to open the invoice. 

  • Make the necessary edits (e.g., date, amounts, or details). 

  • Click Save to apply the changes.

Note: You can publish and split the credit notes by clicking on the options available at the top right corner.

How to Add Credit Notes in the Client Portal  

  • Navigate to the Receipts tab. 

  • Click on + Upload Credit Notes. 

  • On the upload screen, either: 

  • Browse and select the credit note files from your computer, or 

  • Drag and drop the files into the designated upload area. 

  • Once uploaded, the credit notes will be saved under the respective client records for further allocation or review.

How to Edit Purchase Credit Notes 

You need to click on the ID and the tab would be appear as shown in the screenshot below.

Other Available Actions 

  1. Approved purchased credit notes can be published 

  1. Approve the credit notes if needed 

  1. Reject the credit notes once reviewed 

  1. Archive credit notes to remove them from the main view 

  1. Split the credit notes 

 

Managing Credit Notes  

You can manage credit notes easily using the available options in Capium. Below are the actions you can take: 

Edit Options 

  • Click the Edit icon next to a credit note to: 

  • Publish or Unpublish 

  • Bulk Edit multiple credit notes 

  • Copy an existing credit note 

  • Delete a credit note if not needed 

 Download Credit Notes 

  • Select one or more credit notes 

  • Click Download to export them in: 

  • Excel (.xlsx) 

  • CSV (.csv) 

  • PDF (.pdf) 

Other Available Actions 

  1. Archive credit notes to remove them from the main view 

  1. Restore archived credit notes if needed 

  1. Mark as Approved once reviewed 

  1. Withdraw Approval if changes are needed 

  1. Mark as Rejected for incorrect entries 

  1. Withdraw Rejection to reopen and edit

How to add suppliers in Capium 365 
 
The Suppliers section is where you can view and manage all vendors associated with your bills, purchase orders, and expenses. It provides a clear overview of your supplier and enables you to add, edit, or update supplier details quickly and efficiently 

  • Navigate to the Receipts tab. 

  • Click on Supplier from the left-hand side menu. 

  • Click on + Add Supplier. 

  • On the supplier entry screen, fill in the required details such as: 

  • Supplier Name 

  • Account Name 

  • VAT Rate 

  • Any additional notes (optional) 

  • Click Save to add the supplier to the client’s list.

You can view the Supplier details on the time frame using the drop –down from the right top corner.

When you select a supplier, you have the option to edit the details, and you can view the history of that specific supplier

You can export the supplier details in the using Excel / CSV file / PDF format using the 3 dots icon in the right top corner.
