Within the Capium 365 Manage section, the Clients area serves as your central hub for client management. Here, you can:
- Add new clients to your practice.
- Edit existing client details as needed.
- Log into a client’s Capium 365 portal for client-specific activity and workflows.
- Search and filter clients to quickly locate records.
- Import client data directly from the Bookkeeping module for a seamless setup.
This area is designed to streamline client onboarding and maintenance across your practice.
Setting Up a Single Client in Capium
Capium provides two methods for importing your clients:
- Setting client up in My Admin and Sync with 365
- Bulk Import via an Excel template or through the My Admin module
- Single Client Setup, ideal when you only intend to use the client with Capium 365 and no other modules.
This article focuses exclusively on setting up a single client manually within Capium.
Why Use My Admin?
If you plan to use the client record across other areas of Capium (e.g., Payroll, Bookkeeping, Accounts Production), we recommend setting them up through the My Admin module. This centralises your client data and allows for seamless syncing to Capium 365.

How to Add a Single Client in Capium 365 (NOT RECOMMENDED FOR MULTIPLE MODULES PLEASE CLICK ON THE ABOVE LINK)
Navigation: Manage > Clients > Add Client
Click “Add Client” from the top right of the Clients screen.
Enter Basic Information – Include name, UTR number (if applicable), and contact details.
Select Client Type – Choose from Limited Company, Sole Trader, Partnership, or LLP.
Fill in Additional Details – Such as registration numbers, accounting reference date, and email preferences.
Click “Save” – Once complete, your client is ready to be used in relevant modules.
Note: Ensure the client is assigned to the correct services within their profile to enable module access.
How to Edit a Single Client
Currently, edits made to client information are not synchronised between My Admin and Capium 365. This limitation means that if any updates are performed in My Admin, they must be manually replicated in Capium 365. Please note, this functionality is scheduled for improvement in a future update.
Steps to Edit a Client in Capium 365
Navigation: Clients Dashboard > Hover Over Client Name
Locate the client you wish to edit in your Capium 365 dashboard.
- Hover your mouse over the client’s name — a pencil icon will appear to the right.
- Click on the pencil icon to open the Edit Client tab.
- Make the necessary updates in the edit window.
- Click Save to apply the changes.
Log into a client’s Capium 365 portal
To access a client's Capium 365 dashboard, accountants and their staff should follow these steps:
Navigate to the Manage section within the platform.
Hover over the relevant client row to reveal the quick action menu.
Click on the second icon from the left in the hover menu (typically represented by the Capium 365 logo or dashboard icon).
You will then be redirected to that client's Capium 365 Dashboard.
Search and filter clients
Within the Capium 365 Manage dashboard, you can efficiently locate clients using the search bar, which allows searches by client ID, name, contact name, and more.
Additionally, the dashboard provides robust filtering options to help refine your view:
365 Status Filters:
- All 365 Status
- Invite
- Active
Resend Invitation:
- Imported
- Referred
General Status Filters:
- All Status
- Active
- Inactive
These tools enable streamlined navigation and management of your client base within Capium 365.
How to Import a Client into Capium 365 from Bookkeeping
To import a client’s data from Capium Bookkeeping into Capium 365:
- Go to the Manage section in Capium 365.
- Hover over the client you wish to import.
- On the right-hand side menu, click the option to “Import from Capium Bookkeeping to Capium 365.”
Important Notes:
- Once the import is initiated, a Capium 365 licence will be automatically assigned to the client.
- You will be redirected to the Import page of the client’s Capium 365 account.
- No invitation email is sent automatically during this process.
- If you wish to notify the client, click “Invite” in the 365 Status column after import.
- Once a client is imported or invited to Capium 365, bank feeds in Bookkeeping will be disabled, as all bank feed data will now sync from Capium 365 to Bookkeeping.
