Welcome to our Guide for Suppliers in Capium 365! This guide will walk you through essential initial steps, best practices and key features within Suppliers.

 

How to create a supplier

  1. Click the three dashes in the top left-hand corner of the screen
  2. Navigate to “Suppliers” and click this to open the drop down menu
  3. Select the “Suppliers” icon in the left panel
  4. Select the “+” in the bottom right hand corner
  5. Populate the supplier details as required
  6. Select “Save”

 

How to add receipts

  1. Click the three dashes in the top left-hand corner of the screen
  2. Navigate to the “Suppliers” tab
  3. Select the “+” in the bottom right of the screen
  4. Select either the camera icon OR the gallery icon

Capium allows you to either take a photo of the receipt which is the camera icon in the middle of the screen, or choose an existing photo from your gallery. 

 

You can add up to 50 receipts at a time. Once a receipt has been added, there are five different statuses:

 

  • Processing – The system is uploading the receipts
  • Review – Once a receipt has been processed and is awaiting approval
  • Approved – If the accountant has approved the receipt
  • Rejected – If the accountant rejects the receipt
  • Archived – Receipts are deleted 30 days after when they are marked as archive


You can export the receipts. To do this, you need to:

  1. Click the three dashes in the top left-hand corner of the screen
  2. Navigate to the “Suppliers” tab
  3. Click on “receipts” on the drop-down menu
  4. Click on the 3 dots in the top right-hand corner
  5. You have to option to export to Excel, CSV and PDF

 

How to approve, reject, archive, delete and reject receipts 

  1. Click the three dashes in the top left-hand corner of the screen
  2. Navigate to the “Suppliers” tab
  3. Click on “receipts” on the drop-down menu
  4. Press down on the receipt until it turns purple
  5. Click on the three dots in the top right hand corner of the screen
  6. A drop-down menu should appear with several options, click the option you want

 

How to edit receipts 

  1. Click the three dashes in the top left-hand corner of the screen
  2. Navigate to the “Suppliers” tab
  3. Click on “receipts” on the drop-down menu
  4. You can only edit receipts which are in the review state
  5. Click on a receipt which is in the review state
  6. Edit the receipt
  7. Scroll down and press save
