Welcome to our Onboarding Guide for Accounts Production! This guide will walk you through the essential steps and best practices to ensure a smooth setup and successful deployment.



General Settings


Navigation: Accounts Production >  Authorisation Codes


When starting to use the Accounts Production module, the first thing that needs to be complete is inputting the Companies House authentication codes and registration numbers.


Click ‘Edit’ and then input the data.


Navigation: Accounts Production > General Settings >  Limited Company

In the universal settings, you can also amend the notes for different standards in each of the sections: Limited companies, LLP, Partnerships, Sole Trader. 


This includes being able to amend the auditors report, directors/auditors report & accounting policy universally for each company type.






Navigation: Accounts Production > General Settings > Email Templates


  • You can also amend templates for Accounts Reports & trial balance. These email templates will be utilised when you are sending an email in the module.


  • You can also use the tags on the right hand side by double clicking the relevant tag and then it will automatically appear in the email.







Navigation: Accounts Production > General Settings > Chart of Accounts


Adding nominal Chart of Account codes


If you haven’t already in the bookkeeping module, you can input additional nominal codes in Capium’s Chart of Accounts for all company types (Universal Chart of Accounts).  This is the area you can add nominal codes universally across all company types.



Note: You can also go into a specific client > Settings & add a code specifically for that client too.





Navigation: Accounts Production > General Settings > Logo on Reports


  • You can also enable a company logo onto the Accounts report, by clicking edit & ‘enable/disable report logo’.




Navigation: Accounts Production > Settings > Accounting Periods


Adding in Accounting periods


Next, once you go into a specific client of yours, ensure the accounting period/ any other prior periods are all set up here. Again, if already done in the bookkeeping module, these will automatically sync through for you.







Navigation: Accounts Production > Tasks > Trial balance > + Trial Balance

Adding in a trial balance


To add in the trial balance on Capium, select the period the TB is for under the drop down. (This will be the accounting period that was set up in the settings).


Modes of import:


  • Integrations: Quickbooks, Xero or Freegagent (Login with your credentials do one of these vendors through Capium and can map the TB into Capium’s format)


  • CSV: Download our template file to populate and then reupload your TB


  • Manual: The TB can be manually entered on Capium itself


  • Bookkeeping: This would be the most efficient option, due to the shared nominal COA between our Bookkeeping & Accounts production modules, the data would be brought forward into Accounts production to auto populate the trial balance.





Navigation: Accounts Production > Reports > Annual Accounts > + New Report


Report Generation


  • Now you can select a description, report type (Annual full Accounts including CT, Abridged or Filleted), & select the trial balance for the correct period


  • If you want to include a comparative trial balance, you can tick the ‘show comparative figures’ box & the system will then let you include a second trial balance for comparative purposes.


  • Once done, hit generate for the full report which you can then download as a PDF & save.


  • You can also email the report to a client by clicking Action > Email. The report will then be automatically attached and the default email template will be already populated for you but you can still amend before sending if needed.




Navigation: Accounts Production > Reports > Report Settings


How to amend what's included in each report / Include draft message on report


  • If you want to remove a specific page from either the full report, abridged or filleted then you can simply untick the specific page that you do not want included and click ‘save’ once done. Then click on the report quick link ref.no and ‘regenerate’ it, so the changes apply.


  • Also, if you wish to include a draft message on the report before sending it to a client, you can tick the ‘Show draft message’ box. This will input a diagonal large draft message across the reports.




Navigation: Accounts Production > Tasks > Submit > Submit Accounts


Submission


  • Capium’s Account production is integrated with Companies House. When ready to submit, you can submit directly through this module and select the report you want to submit.



There is then a 4 step submission process which includes:


  • Validation check (The system flags up potential errors to check/resolve)

  • Verify the report one more time to ensure all complete

  • Enter companies house gateways credentials if not already populated

  • Finally, submission.




Navigation: Accounts Production > Reports


  • There are also additional reports which you can access such as a trial balance report to compare 2 periods and a nominal ledger to drill down into specific nominal codes. You can export these reports too by clicking the PDF icon.




Navigation: Accounts Production > CH API’s integration 


  • Since the module is directly integrated with Companies House, you will see the company officers, their roles, appointment dates and addresses automatically populated. Any change made in the Companies House website would automatically update here.


  • You can also see all the previous filling history for the client



Navigation: Accounts Production > Settings > Company info


  • In the company info setting, here are some of the main following changes you can edit:


  • Change the taxonomy between FRS102, FRS 102 (1a), UK GAAP & FRS 105.

  • Amend the report names

  • Update the trading status of a company to dormant

  • Update company information





Navigation: Accounts Production > Settings > Company Contacts


Under company contacts, here you can input the directors, secretaries, bankers & solicitors. This only needs to be inputted once, and then will carry forward to the next year

  • Also, as discussed at the start of the article in the universal general settings, the same applies on a client specific level- You can customise the auditors report, accounting policy, additional notes & directors report.

  • To do so, simply click on the section you want to amend such as Directors report & then anywhere where the blue edit icon appears you can click into it and customise the notes or heading such as displayed in the below image.
